Overview
System field assignments tell SalesExec what information a lead field contains and how to use it. For example, assigning Email identifies the field used to send emails, while assigning Phone identifies the primary number used for calling features.
Configure these assignments within each record type so features use the correct lead information. Use Custom Field for general data that does not match a specific system field.
Configure a system field
Go to More → Settings → Step 1: Create Lead Fields.
Select the record type you want to configure.
Open the lead field you want to update.
In the System Field dropdown, select the option that matches the information the field contains. Use the reference below to choose the appropriate assignment.
Save your changes.
Repeat for other fields that support the features your team uses.

Choose the correct system field
System field | Purpose |
Custom Field | Stores general lead information that does not need a specific system field assignment. |
Other | Identifies special data that does not match the other system field options. |
FirstName | Identifies the lead’s first name. |
LastName | Identifies the lead’s last name. |
Name | Identifies a field containing the lead’s full name, such as a value supplied by a lead source or import. It does not combine FirstName and LastName automatically. Only one field can have this assignment. It can be used as a tag in email templates. |
Identifies the lead’s email address. Required to send emails or email templates. | |
Phone | Identifies the lead’s primary phone number. Required for features such as Click-to-Dial, Pull, and screen pops. |
Address | Identifies the lead’s street address. Used with other address fields for the map lookup in Lead Details. |
City | Identifies the lead’s city. Used for the map lookup in Lead Details. |
State | Identifies the lead’s residential state. Used for map lookups and residential state criteria in pull distribution strategies. |
PropertyState | Identifies the property’s state. Used for property state criteria in pull distribution strategies. |
Zip | Identifies the lead’s ZIP code. Used for the map lookup in Lead Details. |
JobTitle | Identifies the lead’s job title. |
PullDelay | Delays eligibility for pull distribution. Accepts either a UTC date/time specifying when the lead becomes eligible or an integer specifying how many minutes must pass before it can be pulled. |
Review field settings
Depending on your business needs, review the field’s configuration for:
Required or optional entry: Require only information essential to your process.
Read-only access: Restrict edits to fields that users should not change.
Visibility: Show fields in the lead views where users need them.
Validation: Check formats for critical information such as phone numbers and email addresses.
Duplicate detection: Include the appropriate fields in your duplicate checking rules.
A system field assignment identifies a field’s purpose. Review these additional settings separately to ensure the field behaves as intended.
Confirm it worked
Open a test lead in the record type you configured and verify that the field contains the expected information.
Then check the feature that uses it. For example:
For Email, confirm the email feature uses the correct address.
For Phone, confirm Click-to-Dial uses the correct number.
For address fields, check the map in Lead Details.
For State, PropertyState, or PullDelay, verify the relevant pull distribution behavior using a test lead.
Troubleshooting
Problem | What to check |
A calling or email feature uses the wrong field or has no contact information. | Confirm the correct field has the Phone or Email assignment and contains a valid value. |
The full name is missing. | Name does not automatically combine FirstName and LastName. Confirm the full-name field is populated. |
The map does not show the expected location. | Review the assignments and values for Address, City, State, and Zip. |
Pull distribution uses the wrong state. | Check whether the strategy should use residential State or PropertyState, then review the corresponding assignment and criteria. |
A lead becomes eligible to pull at an unexpected time. | Review the PullDelay value and whether it represents a UTC date/time or a delay in minutes. |
