How to Import Leads from Excel into SalesExec
Import an Excel spreadsheet to create multiple leads in SalesExec at once. You can assign leads to users, apply marketing information, and use your configured lead distribution settings.
Before You Begin
Prepare an Excel file with:
Column headers in the first row.
All required lead information for the Record Type you plan to use.
Values that match the data types configured for your SalesExec lead fields.
An Excel file format, not CSV.
If you plan to assign different Marketing Channels, Lead Sources, Campaigns, statuses, or users to individual leads, include columns containing those values.
Import Your Leads
Step 1: Upload Your Excel File
Open the Lead Management screen.
Select the Import icon in the menu bar.
On the Import Utility screen, click Browse.
Select your Excel file.
Click Upload File.
The Import Utility also displays previously imported files and their statuses.
Step 2: Configure Import Settings
After uploading your file, configure how SalesExec should import the leads.
Setting | What to select |
Record Type | Select the Record Type for the incoming leads. |
Mapping Preset | Select New Mapping, or choose a previously saved mapping. |
Mapping Description | Enter a name if you want to reuse this mapping. |
Marketing Channel | Select the Marketing Channel for the imported leads. |
Lead Source | Select the Lead Source for the imported leads. |
Campaign | Select the Campaign for the imported leads. |
Import To | Select Records to create leads. |
Workflow | Leave Auto Select for new leads, or choose a specific workflow. |
Assign To | Select Auto-Distribute or specify a user. |
Multi-Row Import | Leave set to No for standard imports. |
Optional: Map different values for individual leads
Enable Mapping by column for Marketing Channel, Lead Source, or Campaign if your spreadsheet contains different values for each row.
The values in your spreadsheet must exactly match the corresponding names configured in SalesExec.
You can also map spreadsheet columns containing:
Workflow statuses, when leads need different starting statuses.
SalesExec user display names, when leads need individual user assignments.
Important: With Auto-Distribute, leads are assigned to Corporate unless Push Distribution is enabled. Review your distribution configuration before importing if you expect automatic assignment to sales representatives.
Step 3: Map Your Excel Columns
SalesExec displays its lead fields alongside the column headers from your spreadsheet.
Review the automatically suggested field mappings.
Match each SalesExec field to the correct Excel column.
Select Do Not Import for columns you do not need.
Ensure every Required field has a mapping.
Click Validate Mappings.
SalesExec attempts to match fields automatically, but you should verify every mapping before continuing.
Step 4: Resolve Validation Errors
SalesExec displays either Validation Successful or Validation with Errors.
If validation fails:
Review the listed errors.
Correct the affected information in your Excel file.
Select Re-Upload Import File.
Upload the corrected file.
Run Validate Mappings again.
Re-Upload Import File preserves your previous mapping selections, so you do not need to restart the configuration.
Step 5: Complete the Import
After validation succeeds, continue to the final import screen.
Review the final import details and complete the import using the available confirmation control.
Confirm the Import Worked
Return to the Import Utility and review the status of the imported file.
Open My Leads and locate the imported records.
Check a sample of leads to confirm their contact information, Record Type, marketing attribution, and assignments are correct.
