Copy Statuses and Actions in a Sales Workflow

Reuse configured statuses and actions to save setup time and maintain consistency across your sales process.

Written by Gabriel Buck

Overview

Copy statuses and actions in SalesExec to build or expand sales workflows without repeating setup work. A copied status includes its configured actions and operations, helping you maintain consistent behavior across similar stages of your sales process.

For example, if several statuses need the same contact attempt, follow-up, or assignment actions, configure one status and copy it into the appropriate buckets. You can also use Apply Template to reuse an individual action in another status.

Review each copy and adjust its settings for the destination before using it.

Before you begin

Make sure the status or action you want to copy is fully configured and saved. Its existing settings will carry over to the copy.

Copy a status and its actions

You can duplicate a status within the same bucket or into a different bucket.

  1. Open the sales workflow for editing.

  2. Copy the status you want to reuse.

  3. Paste it into the destination bucket.

  4. Review the copied status, including its name, actions, and operations.

  5. Adjust its settings for the destination and save your changes.

Check any operations that move leads to another status, assign leads, send messages, or trigger other automation. These settings should match the purpose of the new status.

Copy an individual action

Use Apply Template when you need an existing action without copying the entire status.

  1. Open the status where you want to add the copied action.

  2. In the Actions menu, select Add Action.

  3. In the action window, select Apply Template.

  4. Choose the action you want to copy from the dropdown list. Its settings and operations are carried over.

  5. Review the action’s name and configuration, then make any necessary adjustments.

  6. Save the action.

Confirm it worked

Confirm the copied status or action appears in the intended location and includes the expected operations.

Select the copied action on a test lead and verify its results, such as a status change, assignment, or follow-up activity.

Before testing: If the action sends email or SMS, use contact details you control. If it sends a web request, use a test endpoint.

Troubleshooting

Problem

What to check

The copied status is missing actions or operations.

Confirm the original status contains those settings and was saved before copying.

The expected action is missing from Apply Template.

Confirm the original action exists and has been saved.

The copied action behaves unexpectedly.

Review inherited settings, especially destination statuses, assignment targets, message templates, and other automation.

Copied statuses or actions are difficult to distinguish.

Rename them to clearly describe their purpose.
